AK reported that the committee agreed at their pre-AGM meeting to not increase fees from October 2024.
6 Treasurer’s Annual Report (Jane Fielder)

JF presented finance report bank balance at end August 2022 £3944.23, compared with end August 2023 £4296.83, £352.60 more in the bank this year.

Christine Collins has audited the accounts.

The invoice from Thurrock Council for payment of rent has just been received, unclear where initial invoice was sent to as this is headed debt recovery. JF to check and pay.

Water bills for April to October are Rosedale Road £354.47 and Bull Meadow £47.44, both accounts are in credit and lower than last year.

Five members have not paid their fees, they will be chased and have to pay the late fee of £10 in addition to fees outstanding.

8Chair’s Annual Report (Andrew Klecha)

Welcome everyone to our 19th self-managed Annual General Meeting. Once again spring seem to come late this year with temperatures not really warming up until late June.

However this summer was a lot more suitable for growing with frequent well timed showers helping with the watering.

Amazingly even with the rain there wasn’t too much blight about.

I hope everyone has coped much better with the dipping troughs this year, and I would just like to remind all members that you are allowed to use hoses on your own IBCs. These can also be refilled by a site manager for £3.00. If anyone needs help setting up an IBC to collect water please contact your site manager or a member of the committee.

The waiting list is still getting added to and vacated plots are soon filled by willing newcomers, please make them feel welcome.

If you are struggling to cope with your plot cultivation, please communicate with your site manager or committee member. We have a responsibility as an Association to keep the site cultivated in the terms of our lease with the council.

This year’s Summer BBQ was held on Sunday 7th May to celebrate the King’s coronation. Thank you to everyone who attended. The weather was fine for another enjoyable event. It was crowned by another victory for the Ladies in the annual Boules tournament who now lead 2-0. On Saturday 12th August we held the Annual NSALG open day at Rosedale. This year the refreshments were back in style with Clive R’s pop up cafe. Thanks to everyone who supported it with donations of cakes, produce, elbow grease or serving skills. A record amount of £359.10 was raised for our funds, over £100 more than last year!

Unfortunately last year’s bonfire night was cancelled due to very wet weather hopefully this year we shall be more successful.

Now it’s time again to show our appreciation to all the members who volunteer their time to help run our self-managed sites:

Firstly I would like to thank Sharon Walsh who has stepped into the secretary role with aplomb. Along with the regular meeting minutes she has updated our rental agreements and site inspection procedures to make them more compliant to close scrutiny. Sharon has also taken on the Facebook updates from Dean Smith.

Thanks also go to Committee members Clive and Sheila Cheeseman (our membership secretary) and Jayne Fielder (aka Priest) in her 2nd year as our Treasurer and Mark Kennedy for his work on our website.

At Rosedale Road site thanks go to Alan Collins, Clive Robertson and their band of helpers.

At Bull Meadow site, thanks go to Alan Gorringe who helps Les Dartnell and I keep on top the maintenance there.

Special thanks this year also for Jon Wakeley who built our new secure tool shed.

This winner of this year’s most improved plot is Andy Felton of Plots 8n & 9s at the Rosedale Road site. Andy receives a sack of groworganic for his endeavours. Congratulations!

I hope you all have brought your prized fruit & Veg along for this year’s competition. You all get to vote for your favourite in each section. Good luck to all entrants.

Cherish your plots and they will reward your Body & Soul as well as keep your neighbours happy!

CR commented on how successful the Open Day was and that, in his experience as RRBMAA’s representative at Thurrock Allotment Steering Group, that RRBMAA is unique across the 27 sites in Thurrock in our regular, well attended meetings and social get-togethers.
9Items from Members

a) Remembrance Garden – Tina Whiberley TW opened a discussion about refreshing the remembrance garden at Boscombe Avenue end, to maybe include wildlife bee/insect hotel, sensory herb area, a beehive. The meeting agreed to discuss the overall idea of refreshing the area at the November meeting.

Several concerns were raised about possible siting of a beehive and the meeting overall voted in the majority against progressing this part of the suggestion.

b) Daytrip Organiser – Tina Whiberley TW has offered to organise a coach trip to Rochester Christmas Dickensian Festival on 2nd December 23. Entrance to festival is free, coach transport will cost around £38 each, or lower if enough folk are interested. SW will email the details to all members who can then liaise with TW directly if they are interested.

Minutes from 14th April 23:

Matters Arising:

  • 2nd lot of woodchips arrived RR, need some more at BM
  • 120 scaffold boards on order – AK to contact provider again as to delivery

Rosedale Road Report:

  • Stuart and Alan worked hard on getting the water sorted
  • 1 or 2 plots untidy – coming up to inspection time (June 2023)
  • Couple of paths need strimming
  • Started planting on spare plot – need help to get it good for Open Day in August.   May put notice up for work party

Bull Meadow Report:

  • Beach hut cladded and locks fitted
  • All plots look good, but one member is struggling due to family issues
  • Manure and woodchip still available

Treasurer’s Report:

  • Balance £3,682.35 but there are 2 cheques (£69.50 and £29.70) sent to water board that have “gone missing”.  Once this is rectified balance will be £3,583.09
  • Petty cash £27.14 – Tyrells Hall been paid £100
  • CR has about £350 stock of grow organic fertilizer
  • Insurance needs to be checked for both sites, along with inventory

Membership Secretary’s Report:

  • Prioritising local people for plots
  • Query as to Plot 32 is vacant or not – no work done since it was taken over – check with SC when returns from holiday

Social:

  • Coronation BBQ great success – thank you to all who attended
  • The much-anticipated boules rematch did not disappoint with a result of 10-5 to the ladies!!  Making the overall running total 2-0 to them – unfortunately we have no actual score for the first match – not that it really matters as the

result is still the same  

  • Open Day – Saturday 12th August.  TW to design flyers and send to JP for printing.  Donations of time, goods, cakes etc.  more than welcome

Any Other Business:

  • Just a reminder it is 2-0 to the ladies in the on-going boules tournament
  • Insurance does not cover personal belongings in your sheds etc.
  • Grow organic available @ £6.50 per sack (1.5kg) – see CR
  • Reminder that inspections will take place in June
  • In case it was not mentioned before IT IS CURRENTLY 2-0 TO THE LADIES IN THE ON-GOING BOULES TOURNAMENT

Matters Arising:

Complains procedure has been added to the Tenancy Agreement. Canterbury trip has been cancelled.

Rosedale Road Report:

Couple of water leaks fixed. Driveway has been cleared of loose rocks. Scalpings with tarmac will be laid (paid for out of scrape money funds) £5 per ton – 8 ton needed. No more bonfires will be held on the car park because of the plastic waterpipes underneath.

Chadwell Allotment shop has peat based  potting compost in stock, but will be getting no more , if you need it get it now. Open Sunday   9 – 1

The two IBCs in the Boscombe end car park are not filling, will be investigated.

Squirrels are becoming a nuisance, you can catch them but then have to “dispatch” them, cannot let them go anywhere. Apparently putting sweaty socks on sweet corn deters them!

Hand rail on slope is breaking down, it will be removed on the straight path eventually, but left on the actual slope.

Bull Meadow Report:

Compost and chippings needed. Still waiting for long scaffold boards to become available.

Council will coppice the trees on their land at the back of Les’s plot.

Treasurer’s Report:

Open day raised £256.31. Thanks to all who helped in any way, well done. Raffle tonight raised £13, well done Sheila and Clive. £30 deposits have been refunded to 7 people, still 5 more outstanding, see Jayne if you paid £50 key deposit please. Subs must be paid by/at the AGM or you will have £10 fine added to the total. Well done to Jayne for persevering with the bank who have made a mess of the hand over from Elaine.  Balance £3748.49.

A.O.B.

Clive R’s estimate of the water bill on Rosedale is £575.00. The dip tanks are definitely working in cutting down our water bills. Several people say they are struggling with this system, but if you have an IBC tank, a hose can be fitted to the tank to make things easier. Your IBC can be refilled for a cost of £3 during dry times. See Clive R or Alan.  It has been difficult to keep polytunnels watered during this dry season.

The next meeting will be the AGM on Friday 14th October when committee members will be elected.

Chris will be standing down as Secretary at the AGM after around 18 years, about time someone younger took on the job now! If you are willing to help out the society by becoming secretary or a committee member, please let me know a.s.a.p.

There will be an Agenda at the AGM, if you would like anything raised, please let me know and I will add it, as only items on the agenda will be discussed.

Clive Robertson is now acting chair of the Thurrock Allotment Steering Group. There is talk of the new contracts with the Council being for 7 years at a cost of £35 – to be raised annually. More info when available.     

Bonfire night will be Saturday 5th November from 5 p.m. all welcome, bring food to cook on the BBQ and a drink.

Competition at the AGM – 1-3 best below, 1-3 best above, bring your produce along.

Do not cut off brussell tops  before you have used your sprouts, or the sprouts will not grow.
